AI Tool Renewal Review Checklist
A copyable review checklist for deciding whether to renew, reduce, replace, or cancel an AI tool based on current usage, value, risk, and switching cost.
When to use it: Use this 30-60 days before an AI tool renewal or annual budget review, while there is still time to change seats, plans, or vendors.
Re-establish the decision
- Name the workflows the tool is expected to support and the owner accountable for each one.
- Record the renewal date, notice period, current plan, seat count, and expected next-term cost.
- Separate must-have use cases from convenience use cases that could return to an existing tool or manual process.
Check actual value and adoption
- Review active weekly users and meaningful workflow use, not seats assigned or total logins.
- Collect two or three concrete examples of time saved, quality improved, revenue supported, or risk reduced.
- Identify unused seats, duplicate tools, workarounds, and workflows that still require substantial manual cleanup.
- Compare the observed value with the original pilot or purchase decision instead of relying on sunk cost.
Recheck cost, risk, and alternatives
- Confirm current pricing, usage limits, renewal terms, and any plan changes that affect the next period.
- Recheck data use, retention, access controls, integrations, and administrator features against the team's current requirements.
- Identify the honest alternatives: renew as-is, reduce seats or plan, replace the tool, consolidate into an existing tool, or cancel without replacement.
- Estimate switching costs, including data export, workflow migration, retraining, integration changes, and temporary productivity loss.
Record the renewal decision
- Choose renew, reduce, replace, or cancel and state the decisive reason in one sentence.
- Name the owner, approved budget, seat or plan change, and any conditions that must be completed before renewal.
- If replacing or canceling, start the offboarding and data-export plan before the notice deadline.
- Set the next review date and the evidence that should be available then.
